Brandon

Founder of By.Cadence, and the business & operations side of Wildflower Kids Therapy.

Why By.Cadence exists

A lot of the pressure in a clinic isn't clinical at all.

I've spent more than a decade working in technology, operations and leadership. In 2023, my wife and I started Wildflower Kids Therapy, a paediatric OT clinic on the Gold Coast, where I took on the business, operations and technology side.

The more time I spent in clinic life, the more obvious it became: the pressure isn't always the clinical work. It's everything around it.

That's why I started By.Cadence, to help allied health clinics find their rhythm through better systems, practical technology and simpler ways of working.

The goal is simple. Help good people spend less time fighting their systems and more time on the work that matters.

What I do

Three ways your week gets its time back.

They usually arrive in this order. Write the week down, make the tools you already pay for work properly, then automate the parts that have earned it.

How the three fit together→

Two people onboard a client differently and neither is wrong, because nothing says what right looks like. It holds together until the person everyone asks takes leave.

  • How the work really runs, mapped
  • Double-handling and bottlenecks named
  • Procedures written where your team looks
  • Repeatable steps running themselves

AI

Everyone is selling your clinic something with AI in the name, and someone on your team is already pasting into a chatbot. You have read enough to be nervous and not enough to decide.

  • Which tools are worth it
  • Is it safe, secure and allowed
  • Your team trained on Claude
  • Notes, reports and letters drafted

Get the evenings back→

The same details get typed into the practice system, then a spreadsheet, then an email. Half of what you pay for was set up in one busy fortnight and never revisited.

  • Splose setup and audit
  • Microsoft 365 and Google Workspace
  • Systems talking to each other
  • Migrations and new-system setup

Make the tools work properly→

How it works

Four steps. No noise.

A clear, honest way of working. Shaped around your clinic, not a template.

  1. 01

    Listen

It starts with a conversation. What's working, what's wearing your team down, and what would make next week feel calmer.

  2. 02

    Map

Together we map the moments where work gets stuck. The small leaks of time that add up across a month.

  3. 03

    Build

I design the process, set up the tech, or build the automation. Practical, documented, and tested in real work.

  4. 04

    Embed

Tools only help if your team actually uses them. I stay close while it beds in, then step back when it sticks.

In practice

Small workflows. Better rhythm.

Finding your rhythm isn't always about rebuilding everything. Sometimes it's noticing the small moments where work gets stuck. Three that are running in clinics now, with the real clips.

All six write-ups→
  • Supervision for your clinical team is essential, but the admin around it can quietly stack up. Notes need to be written, formatted, saved and filed for ongoing reference and review.

    What changes

Around 15 to 30 minutes saved per clinician, per supervision session. Clinical leads get time back, supervision records stay consistent, and important team conversations are captured without creating more after-hours admin.

Read how it was built: Supervision notes that build and file themselves
